Subject: How To Be Sure You're Seeing Current Data in ASSIST

Good morning.
With the new academic year there’s a lot of recently published 
data in ASSIST, and articulation agreements will continue to get 
updated throughout the year. Some of you have called to say that 
you were told there is updated articulation for your campus, but 
when you try to see it in ASSIST you’re still getting an older 
version of the data. That’s usually because you’re seeing a 
cached report.

The default setting for most web browsers is to store (or cache) 
on your local computer a copy of every web page you visit. That 
way, when you return to a page, it appears to be much faster 
because you’re getting most of the data from your own computer 
rather than getting new data. This is a great idea for slower 
Internet connections, or for web pages that are mostly static. 
For a system like ASSIST, however, which dynamically generates 
a new report for each request, it means you don’t always see 
updated data. 

To be sure you’re seeing current data when you use ASSIST you 
should clear your web browser’s cache and make sure it’s 
configured appropriately. Below, I’ve outlined the steps for 
you to follow for Internet Explorer 7 on a PC, and for Safari 
on a Macintosh:

PC - Internet Explorer 7 

  1. Launch Internet Explorer

  2. Click the Tools menu and select Internet Options 

  3. In the window that opens, select the General tab if 
     it’s not selected by default

  4. In the section labeled Browsing History, click on Delete

  5. The top section is labeled Temporary Internet Files. Click 
     Delete, and then click yes. 

  Note: This does not delete Favorites or cookies or stored 
        passwords.

  6. After the Temporary files are deleted, click on Close to go 
     back to the Internet Options window.

  7. Again under Browsing History, click on Settings

  8. On the window that comes up, under check for newer versions 
     of stored pages:, select Every time I visit the webpage

  9. Click on OK to return to the Internet Options window

  10.Click on OK to close the Internet Options window

  11.Exit Internet Explorer

  12.Re-launch Internet Explorer

Macintosh - Safari

  1. Start Safari

  2. Click the Safari menu and select Empty Cache

  3. In the confirmation box that opens, click Empty

If you use another browser (like Firefox or Opera) there will 
be similar steps to follow. Your campus technical support people 
will be able to help you.

If following these steps doesn’t help, it could be that your 
campus is using something called a proxy server. If, after 
clearing your cache and changing your configuration you’re 
still not seeing updated reports, ask your technical people 
if your campus is using a proxy server. If the answer is yes, 
they can contact us at the ASSIST Coordination Site for more 
information. (And yes, for you techy-types, we are setting 
meta-tags to No-Cache)

Whew, that was a long one! I hope this helps to ensure that 
you’re getting the most current data in ASSIST. Let me know 
if you have any questions.

Subject: The ASSIST Coordination Site is Moving

Dear Colleagues –

Later this month, the ASSIST Coordination Site will be moving to a 
new location on the UC Irvine campus. Our move should be relatively 
simple, however, there will be a couple of days when staff or services 
are unavailable.  

The following outlines times when staff or services will not be 
available:

June 4- 18  A number of ASSIST servers will be moved to a new location. 
The majority of this move will not affect ASSIST users and Web ASSIST 
services will not be affected at any time.  However, on June 11 and 12, 
the Silverstream server will be relocated to a new location on the Irvine 
campus. For those two days, the ASSIST Articulation Maintenance system 
and OSCAR will be unavailable. This means that UC and CSU articulation 
personnel will not be able to use the system to enter or update articulation 
agreements. It also means that community colleges will be unable to enter 
outlines or update information in OSCAR. A reminder will be sent to users 
the day before Silverstream is taken down.  

June 20-24.  Our move across campus is scheduled for Saturday, June 21. 
On Friday, June 20 we will be preparing desktop computers for the move 
although we will be available by phone. On Monday, June 23, Coordination 
Site staff will be unavailable since our phone lines will be installed 
moved and computers will be set up.  

We should be back to business as of Tuesday, June 24.

Hi Everyone,

It is with incredible sadness and joy that I’m writing to inform you 
that Larry Coon has accepted a new position on the UC Irvine campus. 
Starting May 1, 2008, Larry will be the Director of Decision Support 
Services at UCI’s Office of Institutional Research.

As many of you know, Larry began his work with ASSIST way back in 1986. 
I cannot begin to tell you how vital and essential his work has been 
to the success of ASSIST. While few among you have the pleasure of working 
with Larry on a daily basis, his behind-the-scenes work as our Technical 
Manager has enabled ASSIST to become the most essential and effective 
technology service for California course articulation and student transfer.

Larry’s fingerprints thoroughly cover all of the software, data and 
technology services that encompass ASSIST. He has mastered every 
technology ASSIST has ever utilized and he has successfully guided 
countless efforts to evolve and improve ASSIST technologies over the 
past 22 years.

From a personal perspective, I can barely fathom how much I will miss 
working with Larry every single day. I’m envious of his new colleagues 
at UCI who will soon enjoy his strong intellect, keen insight and warm 
heart.

I know that you all will join me in thanking Larry for the indelible 
mark he has left on ASSIST and that you will also join me in wishing 
him well as he embarks on this next phase of his career.

Hi Everyone,

The two ASSIST Coordination Site Application Programmers, Starling 
Walter and Tony Toyofuku, will be leaving their work with ASSIST 
in the coming weeks. Star will be retiring and her last day at 
ASSIST will be March 31. Tony is moving to a programming position 
at UC Irvine Administrative Computing Services and his last day at 
ASSIST will be this coming Friday, March 21.

Since Star and Tony have conducted most of their work behind-the-scenes 
you may not know much about them, but their work has been essential to 
all of ASSIST’s achievements over the years.

Star has been with ASSIST since 1997 and has developed and 
enhanced some of your most favorite services including: the 
ASSIST Articulation Data Entry System, the ASSIST Curriculum 
Update System, and the ASSIST OSCAR System.

Tony has been with ASSIST since 2002 and while much of his work 
has been spent improving existing services such as Web ASSIST and 
the ASSIST Curriculum/Articulation Maintenance Reports web sites, 
he also programmed the ASSIST Explore Majors web site and the newest 
ASSIST Course Search and Articulation Summary features.

I know that you will all join me in wishing Star and Tony well on 
their future pursuits. Each of you directly benefits from their 
many years of hard work, and millions of students have been served 
with the ASSIST software that Star and Tony have helped create.

Thanks to Star and Tony, and thanks to all of you for the hard work 
you continue to provide in service to California’s students.

Members of CIAC and Other Transfer-Serving Communities: 
I am writing to inform you about an important development occurring at 
the ASSIST Coordination Site. 

As you all are well aware, these are challenging times for public 
higher education in California. Here at the University of California 
Office of the President (UCOP), we have been undergoing an organizational 
restructuring effort aimed at creating new operational efficiencies and 
cost savings – an initiative that actually began late last summer. For 
more information on the progress of our restructuring, see: 
http://www.universityofcalifornia.edu/future/orgupdates.html. 

You may, or may not, know that the University of California has been 
the fiscal agent for ASSIST since its inception in 1985 and that the 
ASSIST Coordination Site (ACS) staff members are considered UCOP 
employees. As part of the restructuring efforts, in January 2008 UCOP 
employees were offered a Voluntary Separation Program. The program 
is designed to help the ongoing restructuring effort by giving 
additional support to those employees interested in transitioning 
out of UCOP.  This program is one of several efforts aimed at 
minimizing the need for layoffs. 

As of this writing, a significant number of UCOP employees have 
indicated their interest in participating in the program, including 
Eric Taggert, Director of ASSIST.  As the founding director of ASSIST, 
his departure will result in change for both his colleagues in the 
ACS as well as the articulation community.  Eric is a passionate 
advocate for transfer students and has been a champion for the 
importance of clean, accurate and complete articulation data to support 
California’s transfer function.  During last fall’s SCIAC and NCIAC 
meetings I heard again and again that you value ASSIST as a tool 
to support transfer and the work that you do, and how much you 
have appreciated the responsiveness and commitment of the ASSIST staff. 

We are fortunate that Eric has built a strong ACS team, and I am 
particularly grateful that Cathy Robin will remain and assume 
responsibility for the day-to-day management of ASSIST.  We have 
begun the process of transition and are committed to doing this in 
as smooth a way as possible.  While I understand there will be 
some concern about ASSIST given this transition, I am committed 
more than ever to the primary functions of ASSIST.  As well, the 
leadership of the three segments – the California Community College 
Chancellor’s Office, the California State University Chancellor’s 
Office and the UC Office of the President – are united in their 
understanding of the need for ASSIST and their commitment to its 
place in the future of higher education in California. 

I will appreciate your support as we plan for the transition of the 
ASSIST leadership, and I will continue to keep you updated as this

Subject: 2007 Usage Statistics and New Server Computers

Hi Everyone,

With the start of the new calendar year, I thought I’d pass along some 
basic stats about how many people used ASSIST last year.

During the 2007 calendar year, over 1,200,000 people used ASSIST to 
view over 10.4 million articulation reports. That’s another dramatic 
annual increase compared to 995,000 people viewing over 8.9 million 
reports in 2006.

November 2007 was our busiest month when over 174,000 people viewed 
just over 1.1 million reports – this just edged out May 2007 when 
we were almost as busy as November.

The best news from last year is that all ASSIST production services 
are now running on new web/application and database server computers. 
Not only are these computers less vulnerable to failure (because 
they’re newer and better), but they’re also significantly faster. 
If you haven’t already noticed it, the ASSIST web site responds 
much more quickly, especially when you view really long reports.

You may have also caught Larry’s note in December announcing that 
the ASSIST server computers are now being powered by an electrical 
supply that includes a diesel-generator-powered backup service. This 
means that if UCI (where the ASSIST server computers are located) 
ever loses power, ASSIST services will keep running along with UCI’s 
core Internet connectivity. We thank UCI for this outstanding service 
in support of students, faculty and staff throughout the State.

We’re now working on configuring full redundancy for the primary 
ASSIST server computers so that backup servers will kick-in in the 
unlikely event something happens with the primary servers. This final 
work is targeted for completion by the end of March 2008.

The steady increases in annual and monthly ASSIST use continue to 
encourage us. We may see the numbers of people using ASSIST start 
to level off (there are only so many students in California who are 
seeking transfer information!) but we’re hoping that with the faster 
server computers, people will start looking at more information each 
time they visit.

I want to give a special shout-out to all the staff in my office who 
worked on the server upgrades, but I especially want to highlight 
Larry Coon’s work. I can’t begin to tell you how hard Larry worked 
on this transition, and it’s because of his amazing technical skills, 
planning and hard work that the whole process, including the final 
cut-over in late December, was completed on-time and with fewer problems 
than we had expected. I know you all join me in thanking Larry, Cathy, 
Doug, Star, Liz, Dale, Lori, Tony, Heidi and Quentin for all the hard 
work they continue to put into keeping ASSIST running during these 
challenging times.

Thanks also to all of you who continue to use ASSIST to help students 
by advising them with more accurate information and/or by 
entering/updating/maintaining the critical information they need in ASSIST.

Some people have commented to me on how busy the ASSIST Web site appeared

November 2006 was the busiest month ever for ASSIST when almost 150,000 people
viewed almost 1 million course articulation reports. The actual numbers
from the ASSIST General Activity Report (http://info.assist.org/dbgen1.html)
were that 149,197 people viewed 996,412 articulation reports. I was hoping
November would officially top 1 million reports, but it looks like we’ll
have to wait for May 2007 for that.

educational center of El Camino College. As of the fall 2006 term,

In ASSIST, when users select Compton College for the 06-07 academic

brief explanation is also shown. When users choose an earlier year 
they will still get the historical information for Compton College.

Here's the good news -

We hear from some users that they're not sure how to 
get started when they use ASSIST. To try to help with 
that, we've just published some basic "How To Use 
ASSIST" demonstrations. These audio/video presentations 
provide simple examples of how to use ASSIST to find 
articulation and transfer-related course information. 

We hope that these will help first time or infrequent 
users. These are the first set; we'll soon publish 
additional demos that focus on Exploring Majors and 
on other choices in ASSIST.

Getting to the demos -

They are available on both the public ASSIST site
(http://www.assist.org) and on the ASSIST Information 
Center (http://info.assist.org). To see the demos on 
ASSIST, from the Welcome to ASSIST page, click on Using 
ASSIST on the left sidebar. Then click on Click here to 
learn about using ASSIST. Then click one of the links. 
On the ASSIST Information Center, point your mouse at 
Publications, then Training Presentations, then Using

Playing the demos -

The demos are Flash movies. They use Flash Player, a

listen to me.

Good morning.

We are very pleased to announce that the Exploring Majors 
feature of ASSIST now includes data for every California State
University campus. The data for University of California campuses
were already available, so users may now browse or search
through majors offered at every public university campus in
California.

Exploring Majors should be pretty easy for everyone to use, 
and we've got a very nice description and walk-through in the 
Spring edition of the ASSIST Transfer Channel newsletter. You 
can find that here -

other personnel. To make it easier for students to find what 
they're looking for, we've made a minor change in the address 
for ASSIST and the ASSIST Information Center. 

Now, either http://assist.org or http://www.assist.org can be 
used to get to the first selection page in ASSIST, the Welcome to 
ASSIST page. Maintenance users and others should now use 
http://info.assist.org when they want to go to the ASSIST 
Information Center. It might take a couple days for the name 
change to trickle through all the back-channels of the Internet.

Letter from the Director

Welcome to the first edition of the ASSIST Transfer Channel, a 
semi-annual newsletter for counselors, advisors, faculty, evaluators, 
articulation officers, and everyone else who is interested in the 
latest information about ASSIST.

As you've all seen by now, the ASSIST web site has undergone 
some big changes. We said goodbye to the "Backpacker" who 
graced the splash page for the past six years. After successfully 
transferring the perfect 60 units (that all applied to GE and major 
requirements) our student graduated with a bachelor's degree 
and is working somewhere in cyberspace making lots of money 
and giving back to the community by encouraging more students 
to use ASSIST as they plan to transfer.

There are some other key changes you've seen, all of which are 
aimed at clarifying the purpose of the ASSIST web site and making 
it easier to use. The most important change is that all prompting 
for reports has been consolidated onto one page so that users 
an see all of their choices at once and new users don't feel like 
they're navigating through some crazy maze.

All of the articulation reports in ASSIST are the same as before 
(plus some new ones discussed in the "ASSIST - New and Improved" 
article of this newsletter) and you can still get printed reports by 
clicking the "Print Report" button.

The Exploring Majors feature is now more prominent. If you haven't 
used it yet, check it out by clicking the "Explore Majors" button on 
the Welcome page. There's only data on UC majors right now but 
we're working hard on adding information for all CSU campuses to 
better serve more students.

We'll continue to make some minor adjustments to the look and 
language of the site, but the basic functionality will remain stable. 
And, in case you haven't noticed, you will probably have to update 
your bookmarks (and web links) for ASSIST so they reference the 
new site. 

Thanks to all the staff at the ASSIST Coordination Site for their 
hard work on this project - we've received a lot of very positive 
feedback on the redesigned site.

On a more mundane matter, funding for ASSIST in 04-05 remained 
the same as in 03-04. Coupled with a few specially funded projects 
we've been working on, there is enough funding to maintain basic 
ASSIST operations throughout the year. We're keeping our fingers 
crossed that there will be no cuts for 05-06.

We're e-mailing the first edition of this newsletter to many of our 
colleagues but we would appreciate your forwarding it on to any 
others at your campus who might be interested. If you would like 
to have future editions of the ASSIST Transfer Channel automatically 
delivered to your e-mail, please check out the Subscribe section 
of this edition for instructions.

Lastly, one feature that we plan to include in each edition of the 
ASSIST Transfer Channel is a special section for students that you 
can print and hand out in transfer centers and other key places 
on campus.

In this edition you'll find a handy beginner's guide for new users 
under the heading "Using ASSIST."

Over the weekend we activated the improved Web ASSIST 
prompting pages so that everyone who uses ASSIST at 
www.assist.org is now using the latest and greatest.  
Thanks to everyone who provided comments during the 
testing period.
 
The new site still supports bookmarking specific 
prompt and report pages (where the selections will 
be remembered), however given the new structure 
of the site, old bookmarks will no longer function 
correctly.  If you have embedded links to ASSIST on 
your campus or departmental web pages that go 
deeper than www.assist.org, you will need to work 
with your local web site staff to update the links.  
Over the coming months we will be updating the 
ASSIST Online Orientation to align with the new site.

Subject: Testing the new Web ASSIST user interface

One of the many activities approved by the ASSIST Board in the current 
ASSIST Strategic Plan is an effort to redesign the first few pages of 
Web ASSIST in order to help clarify the intent of ASSIST, especially for 
first-time users, and make the system a little bit easier to use.  The ASSIST 
Coordination Site staff have been working over the summer on this 
project and we now have a new user interface that is fully functional 
and ready for testing.  Next year we will conduct some focus group 
testing with students and consider further refinements based on that 
feedback.
 
This morning we activated the test version of the new Web ASSIST user 
interface and it can be accessed at http://www.assist.org/web-assist.  
This version of Web ASSIST provides all of the same articulation reports 
as the regular Web ASSIST system and gets the data from the same 
database.  The only difference is in the look and feel of the prompting 
pages and the help.
 
This test site will be active for one week from today through Friday, 
September 17th.  During that time we encourage everyone to check 
out the site and let us know if you find any problems.  Please report 
any problems via email to Lori Quillen at lori@assist.org and she will 
make sure we keep track of everything.  One item we do know about 
is the feedback forms that you'll find via links at the bottom of the 
left-hand sidebar.  After filling out a feedback form the user is taken 
to the old Web ASSIST system (instead of staying in the new test system).  
This will be fixed once we active the new user interface for real.
 
After September 17th we will deactivate the test site and work on a final 
cut-over plan.  Once the final cut-over is complete, everyone will access 
the new Web ASSIST system at our usual address and the test site will 
no longer function.
 
Thank you for your help in testing this site.  All of us at the Coordination 
Site hope you enjoy the new user interface and find it a bit easier to use.

Dear Articulation Colleagues, 

Articulation changes are occurring at Cal Poly SLO.  Marcia Friedman 
is retiring today, August 31st; please remove her from Articulation 
and Catalog lists on your campus.  It is with great excitement that 
I get to announce the "new" Articulation Officer for Cal Poly SLO.   

As of September 1, 2004, Jane Leaphart will be reassigned to 
Articulation!  My phone # is 805-756-2157; the fax # remains/is 
805-756-7237, and my email is jleaphar@calpoly.edu.  This is a 
wonderful "homecoming" and I look forward to being involved 
with CIA0, ASSIST, and CAN again.  

We will start with working on 2004-05 agreements immediately.  
We expect to be fully operational by Winter term, after I complete 
training staff to take over my former position.  

I appreciate your continued support and patience as we begin the 
arduous task of restarting articulation and updating our articulation 
agreements.  Obviously, there are large numbers of requests and 
CAN verifications to be done.  We will need to carefully prioritize our 
workload, and be realistic about what can be done in an eight hour 
day!  I do not know how long it will take to cycle through and update 
all of our agreements, 1-2 years?!  

We will be contacting each Community College individually when we 
are ready to start working on our new agreement with you.  I would 
be very grateful if you would hold your new articulation requests until 
we contact you regarding the 2004-05 or 2005-06 update with your 
college.  What would be very helpful now, is for you to start reviewing 
our old agreements to determine gaps, changes, or proposals so that 
you are ready when we contact you for your suggestions to make our 
Articulation Agreements current.  

It feels so good to be back "home."

We are pleased to announce that we have published in ASSIST 
the reports which detail how the CSU American Institutions 
requirement can be fulfilled at community colleges.  We have 
received finalized lists for 48 colleges.  ASSIST will publish 
the CSU American Institutions requirements beginning with 
the 04-05 academic year.  Combinations of courses that fulfill 
the CSU American Institutions requirements prior to 04-05 will 
not be available in ASSIST, but the reports will refer students 
and academic advisors to community college catalogs for that 
information.

If the list for your college is not currently available, it 
indicates that we have not yet received the finalized data 
from the CSU Chancellor's Office.  We will be publishing 
additional lists as they become available.

by someone using the "spoofed" email address of a listserv 
administrator, so it went out without our knowledge.

The good news is, the system's anti-virus protection worked 
and the malicious attachment was removed. Your own system 
was not put at risk.

I'm sure you all know how difficult it is to stop these kinds of 
malicious emails, and how important it is to keep your own 
anti-virus programs up-to-date.
